How to use OneDrive and Sharepoint Sites

This is a guide to using OneDrive and accessing shared spaces (sharepoint sites)


The OneDrive App



To sync files from OneDrive to your device you will need to sign into the OneDrive app. On Roedean devices Onedrive should be running in the system tray in the bottom right hand corner you should see a grey cloud. If you click on this it should give you the option to sign in.


This will ask for your Roedean email address and then password, it will also go through duo authenticator.

Click sign in

Another window will appear to enter your email address then click sign in again

You will need to login through duo authenticator using your email address click next

Then type your password

Leave Allow my organisation to manage my device ticked and click OK

It will save your onedrive folder inside your profile folder on the device. Click Next

You may already have a folder so you can use the same one, click on Use this folder

This is asking if you need to backup anything that is saved in any of these folders on this computer. Normally you would have all your work one Onedrive already so you can click next.

This shows the symbols that will appear next to your files when viewing them in file explorer.

This explains the status that the file is in.

You have the option to setup on your mobile phone, which can be done at a later date by clicking Later

OneDrive is now ready, Click on Open my OneDrive folder and this will open a window in File Explorer and show the files that have started to sync to your device.


Your files will sync with your Desktop, Documents and Downloads


Your files are now saved to this device you are using when you open a document, but also it will sync back to OneDrive cloud as well. Look out for these symbols on your files to see what status they are in.



Sync issue can occur you need to look out for any symbols that appear on the blue cloud in the system tray. Also any pop up message that appear to.

These will let you know which document there is issue with syncing and it will take you through the steps to fixing this.

Sync issue should be fixed ASAP because it can cause issue in the future with having documents that are not updated for all users.


Shared Spaces


Each department has a shared space site which users of the department will have access to.

This shared space is a sharepoint site that can also be synced to your device using the OneDrive app


You can access shared spaces on the intranet and click the button that says Shared Spaces it will take you to this page Shared Spaces (sharepoint.com) 


Here you can click on your department


Once on your shared site you will see a list of documents above the list is option to sync.


Once this is clicked and you select open on the pop up window the files will start to sync to your device


In file explorer you will now see the word Roedean on the left hand side


Within this there will be the name of your sharepoint site you have just synced


This is easier way to access the shared files it now gives you the option to pin the folders to your favorites or you can create shortcuts on your desktop.


Shared spaces that are synced can also have sync issues just like you personal OneDrive


This will be flagged in the OneDrive app in the system tray.


Once clicked on it will show the errors that have occured and what steps to take to fix the sync issue

Sync issue should be fixed ASAP because it can cause issue in the future
